Job Responsibilities:

·      Initial contact for incoming calls and inquiries

·      Supports BD and Sales with prospecting and contacting potential/existing customers

·      Assists BD/Sales with preparing Quotations for customers

·      Purchase Order processing; maintains PO tracking log

·      Places internal Purchase Order Requisitions with factory: maintains Internal PO Tracking log

·      Send customers Order Confirmations for orders received

·      Manages internal Purchase Order Requisitions working closely with Production thru completion

·      Provides weekly open order status reports to Sr. Management

·      Arranges shipment of goods to customers (Commercial Invoices, Packing Slips, etc.) via FedEx, UPS, etc. and communicating tracking #s

·      Issues Invoices to customers

·      Manages of all incoming shipments (packages) and mail received at facility

·      A/R management and prepares weekly Aging Reports for Sr. Management

·      Prepare Monthly Sales Results and Forecasting reports for Sr. Management

·      Issues external Purchase Orders with outside vendor (consumables, equipment, etc.) and coordinates payment with Sr. Management

·      Inventory management

·      Assists ISO Internal auditor with other ISO related activities (i.e.: support with ISO documentation control)

·      Compiles monthly expense report of all employees for Sr. Management

·      Supports global team with travel arrangements within N.A.

·      Supports senior management with onboarding activities of new hires

·      Assists with tradeshow related activities

Skills/Qualification

  • BS degree, experience with Business Administration or relevant field
  • Excellent interpersonal, project and team management skills
  • Solid organizational and analytical skills
  • Hands on experience with CRM software and MS Excel
  • Bilingual in English and Chinese
